Syncing Outlook Email and Zoho CRM: Step-by-Step Process

The Zoho CRM add-in for Microsoft Outlook allows you to view and manage your CRM data directly from your Outlook inbox. With this add-in, you can:

  • Add leads or contacts
  • Add notes to CRM records
  • Create new activities for leads or contacts
  • View campaigns associated with leads or contacts
  • Convert leads
  • Associate emails with leads, contacts, or deals

 

To install the add-in, you can either:

 

Install it from within Outlook: 

 

  • Open an email in Outlook.
  • Click the Get Add-ins icon.

    • In the search bar, type “Zoho CRM for email” and click Add.
    • Confirm the privacy policy and license terms.

    • Once the installation is complete, you will see Zoho CRM for Email pinned in your Outlook email.

    • In the search bar, type “Zoho CRM” and click Search.

    • In the search results, check for the app “Zoho CRM for email”, which has “Outlook” mentioned in the details.
    • Click Get it now and follow the steps for email signup.

Once the add-in is installed, you can access it by clicking the Zoho CRM for Email icon in the Outlook ribbon. The icon will be pinned to the ribbon by default, but you can unpin it if you prefer.

You can also open an email and click the Zoho CRM for email icon at the top.

The Zoho CRM for Email add-in has a number of features, including:

 

  • Leads and contacts: You can add leads or contacts directly from an email. When you add a lead or contact, the add-in will automatically populate the CRM record with information from the email, such as the sender’s name, email address, and subject line.
  • Notes: You can add notes to CRM records from an email. This is a great way to keep track of your interactions with leads and contacts.
  • Activities: You can create new activities for leads or contacts from an email. This could include tasks, calls, or events.
  • Campaigns: You can view the campaigns that a lead or contact is associated with.
  • Lead conversion: You can convert a lead to a contact directly from an email.
  • Email association: You can associate emails with leads, contacts, or deals. This can help you track your email communications with your CRM data.

 

How to Add Leads or Contacts from Outlook to Zoho CRM

 

You can add users either as leads or contacts to the CRM account directly from your outlook email.

To add leads or contact:

I. Choose any email from your Outlook inbox.

II. Click Zoho CRM for Email, from the drop-down arrow.
If the user is not added as lead or contact, Add Lead or Contact option will be displayed.

III. Click either Lead or Contact tab to add as lead or contact respectively.

IV. Enter the details.

a) Mandatory fields will be marked red. Once they are filled they will change into green.

b) Click +more fields to add additional details.

V. Click Add Lead or Add Contact.

 

How to associate an email with a lead, contact

 

To associate an email with a lead, contact, or deal in Zoho CRM:

I. Open the email in Outlook.

II. On the Info tab, click the Zoho CRM for Email icon.

III. Click Associate.

IV. If the user is not already a lead, contact, or deal in Zoho CRM, click Add Lead, Contact, or Deal.

V. Once the email is associated, you will receive a success message.

How to associate an email with a lead, contact

 

You can also associate multiple emails with the same lead, contact, or deal. To do this, follow the same steps above, but select the emails you want to associate before clicking Associate.

The associated emails will be displayed in the Emails Related list on the record details page in Zoho CRM. This makes it easy to track your email communications with your leads, contacts, and deals.

Here are some additional things to keep in mind when associating emails with leads, contacts, or deals:

  • You can only associate emails with records that exist in Zoho CRM.
  • If you associate an email with a lead, contact, or deal that is later deleted, the email will also be deleted.
  • You can also associate emails with records in other Zoho apps, such as Zoho SalesIQ and Zoho Books.

 

How to convert leads in Outlook

 

You can convert a lead to a contact right from your Outlook inbox. While converting you can add the contact to an existing account or create a new account. You can also choose to notify the record owners of the account or contact them about the record addition.

To convert a lead:

I. Choose an email from the Outlook inbox.

II. Click the More icon > Convert.

III. In the Convert Lead popup, check Add to existing contact or Create new contact.

IV. Check Notify record owner.

V. Click Convert.
